Important: All attendee registration sales are final and nonrefundable after twenty-four (24) hours from the time of purchase. Unauthorized promotion of or solicitation for another conference or event is strictly prohibited and may result in immediate removal without warning or refund.

These Terms and Conditions (“Terms”) govern registration for and participation in ITAD Summit and its related conferences, exhibits, workshops, masterclasses, meetings, receptions, networking programs, digital platforms, and officially sponsored activities (collectively, the “Event”).

The Event is organized by International E-Recycling Alliance, Inc., doing business as Global ITAD Institute (“Organizer,” “ITAD Summit,” “we,” “us,” or “our”).

These Terms apply to every attendee, purchaser, speaker, sponsor, exhibitor, contractor, volunteer, media representative, guest, and other participant (“Participant”).

By registering for, purchasing access to, receiving credentials for, accessing, or attending the Event, the Participant confirms that the Participant has read, understands, and agrees to these Terms.

Prior purchases: The cancellation and refund policy displayed and accepted when a registration was purchased governs that purchase. The revised provisions on this page apply prospectively and do not replace a different written refund commitment previously accepted by a purchaser.

1. Registration, eligibility, and credentials

Registration is subject to acceptance by the Organizer. The Organizer may accept or reject a registration in its reasonable discretion, subject to applicable law.

Event credentials:

  • Are issued only to the registered Participant;
  • May not be transferred, shared, copied, reproduced, or resold without prior written approval;
  • Must be displayed and presented when requested; and
  • Remain the property of the Organizer.

Participants may be required to present government-issued identification. The name on the identification must match the registration record.

All Participants must be at least 18 years old unless the Organizer provides prior written authorization.

Providing false, incomplete, misleading, or fraudulent registration or payment information may result in cancellation, credential revocation, or immediate removal without refund.

2. Cancellation and refund policy

2.1 Attendee registrations

All attendee registration sales are final and nonrefundable after twenty-four (24) hours from the time of purchase.

An attendee may request cancellation within 24 hours after purchase by emailing events@itadsummit.com.

The request must include:

  • The attendee’s full name;
  • The purchaser’s name and email address;
  • The registration or order number; and
  • Sufficient information to identify the transaction.

An eligible cancellation received within the 24-hour period will receive a refund of the registration price paid. Any separately stated, nonrefundable service or processing fee disclosed before purchase will not be refunded.

The 24-hour cancellation period:

  • Begins when payment is completed, according to the Organizer’s payment records;
  • Is calculated using Eastern Time;
  • Is not extended because it expires on a weekend or holiday; and
  • Ends immediately if the registration is transferred, a badge is issued or scanned, or the Participant accesses or uses a paid Event benefit.

After the 24-hour cancellation period, no refund, partial refund, payment reversal, or credit will be provided except when required by applicable law or when the Organizer completely cancels the Event as described below.

2.2 Nonrefundable circumstances

Refunds will not be issued because of:

  • A change of plans or scheduling conflict;
  • Failure or inability to attend;
  • Illness, injury, family emergency, or personal circumstances;
  • Transportation cancellations, delays, or interruptions;
  • Hotel, lodging, or travel difficulties;
  • Visa denial, delay, expiration, or immigration issues;
  • Failure to obtain employer approval or reimbursement;
  • Weather affecting the Participant’s travel;
  • Dissatisfaction with a speaker, session, exhibitor, attendee, meal, agenda item, or networking opportunity;
  • A change to a speaker, session, schedule, room, meal, or Event activity;
  • Purchasing an incorrect ticket;
  • Failing to use some or all registration benefits;
  • A duplicate registration not reported within 24 hours after purchase;
  • Failure to satisfy admission requirements;
  • Removal or credential revocation under these Terms;
  • Solicitation for another conference or unauthorized event; or
  • Any other violation of these Terms or Code of Conduct.

Failure to attend or use a registration does not mean the purchased Event services were unavailable.

2.3 Registration transfers

The Organizer may, but is not required to, permit an attendee registration to be transferred to another eligible person.

A transfer request must:

  • Be submitted to events@itadsummit.com;
  • Be received by the published registration-transfer deadline;
  • Identify the original and replacement attendees;
  • Be approved in writing by the Organizer; and
  • Include payment of any transfer fee disclosed before approval.

A registration may be transferred only once. A transferred registration remains nonrefundable. Registrations may not be transferred to another conference or Event year without written authorization.

2.4 Sponsors, exhibitors, workshops, and add-ons

Sponsorship fees, exhibitor fees, advertising purchases, workshop fees, masterclass fees, optional add-ons, deposits, and other business-to-business purchases are noncancelable and nonrefundable once purchased or contracted.

Unless a separate signed agreement expressly provides otherwise:

  • All contracted amounts remain due according to the applicable invoice or payment schedule;
  • Cancellation or failure to use purchased benefits does not eliminate the purchaser’s payment obligation;
  • Deposits and installment payments are nonrefundable;
  • Removal or revocation of privileges for a policy violation does not create a refund right; and
  • The purchaser remains responsible for outstanding contractual amounts.

If a signed sponsorship or exhibitor agreement conflicts with this section, the signed agreement controls.

2.5 Postponement, relocation, or format changes

The Event dates, venue, schedule, speakers, programming, and format are subject to change.

If the Event is postponed, rescheduled, relocated, shortened, or converted in whole or in part to a virtual or hybrid format, the registration will automatically apply to the modified Event. Such a change does not constitute cancellation and does not entitle the Participant to a refund.

The Organizer may alternatively provide a credit for the rescheduled Event or another ITAD Summit event held within 12 months. A credit has no cash value, may not be sold, and expires if it is not used within the stated period.

2.6 Complete cancellation by the Organizer

If the Organizer completely cancels the Event and does not reschedule it or provide substantially equivalent programming, the Participant’s sole remedy will be one of the following, as determined by the Organizer and permitted by law:

  • A refund of the registration fee actually paid; or
  • A credit equal to the registration fee paid for a future ITAD Summit event.

The Organizer will not reimburse airfare, lodging, visa expenses, transportation, lost income, sponsorship expenses, lost business opportunities, or other incidental or consequential costs.

A refund required by applicable law will be provided notwithstanding conflicting language in these Terms.

2.7 Refund requests

All cancellation and refund requests must be submitted to events@itadsummit.com.

Social-media messages, telephone calls, and communications with speakers, venue personnel, sponsors, payment processors, or other third parties do not constitute notice to the Organizer.

A refund is approved only when confirmed in writing by an authorized Organizer representative. The Organizer does not approve refunds orally.

2.8 Payment authorization and disputes

The purchaser authorizes the Organizer and its payment processor to charge the selected payment method for the amount displayed at checkout.

Participants should contact the Organizer before initiating a payment dispute so the Organizer can review the transaction and determine whether a refund is due.

Initiating a chargeback does not create a refund right that does not otherwise exist.

When a payment is disputed, the Organizer may provide the payment processor, card network, and issuing bank with relevant records, including:

  • The registration record and transaction receipt;
  • The policy presented to the purchaser before payment;
  • The purchaser’s recorded acceptance of the policy;
  • Checkout date, time, IP address, and transaction records;
  • Communications with the purchaser;
  • Evidence that credentials, materials, platform access, or Event benefits were provided or used;
  • Badge issuance and check-in records; and
  • Evidence concerning any transfer, cancellation, refund, or policy violation.

Nothing in these Terms prevents a cardholder from exercising rights that cannot lawfully be waived.

3. Solicitation for other conferences and events

Promoting, marketing, organizing, recruiting for, or soliciting participation in another conference or event is strictly prohibited without the Organizer’s prior written authorization.

This prohibition applies whether or not the other event directly competes with ITAD Summit.

Participants may not:

  • Recruit or invite anyone to attend, sponsor, exhibit at, speak at, or support another conference or event;
  • Distribute invitations, advertisements, flyers, discount codes, registration links, QR codes, signs, or promotional materials for another event;
  • Use attendee lists, Event contact information, Event platforms, direct messages, or networking tools to market another event;
  • Announce or promote another event during a presentation, meeting, reception, or networking session;
  • Organize a competing, unofficial, shadow, or invitation-only event intended to divert Participants from ITAD Summit;
  • Host an unauthorized hospitality suite, meeting, reception, dinner, party, or promotional activity associated with the Event; or
  • Direct another person or organization to engage in prohibited solicitation.

This rule applies at the Event venue, exhibit areas, hotels used for programming, official transportation, receptions, social functions, Event platforms, and other Event-associated channels.

Violation of this section may result in immediate termination of the Participant’s registration, credential revocation, removal from the Event, denial of all remaining Event access, and exclusion from future ITAD Summit events. No warning, cure period, credit, or refund is required.

The Organizer may also exclude the organization represented by the violator from future attendance, sponsorship, or exhibition.

Activities expressly authorized by a signed sponsorship or exhibitor agreement are permitted only within the rights granted by that agreement.

4. Unauthorized commercial solicitation

Participants who are not authorized sponsors or exhibitors may not distribute commercial materials, conduct demonstrations, display signs, collect leads, arrange organized sales presentations, or otherwise conduct promotional activity at the Event.

Sponsors and exhibitors may conduct promotional activity only within the spaces, times, channels, and sponsorship rights assigned to them.

Purchasing an attendee registration does not confer sponsorship, exhibition, advertising, lead-generation, or promotional rights.

5. Code of Conduct

Event organizers will enforce this Code of Conduct and expect cooperation from all ITAD Summit Participants to promote a safe, professional, respectful, and enjoyable Event experience.

Prohibited conduct includes:

  • Harassment, discrimination, intimidation, stalking, threats, or abusive behavior;
  • Unwanted physical contact or sexual attention;
  • Offensive conduct directed at another person based on a legally protected characteristic;
  • Disrupting a presentation, meeting, exhibit, reception, or Event operation;
  • Theft, property damage, fraud, or misrepresentation;
  • Possessing weapons or dangerous items where prohibited;
  • Entering restricted or nonpublic areas without authorization;
  • Photographing or recording a person where a reasonable expectation of privacy exists;
  • Being impaired to a degree that creates a safety or disruption risk;
  • Misusing another Participant’s contact information;
  • Violating venue rules or applicable law; and
  • Failing to comply promptly with instructions from Event staff, venue personnel, or security.

Participants who experience or witness prohibited conduct should report it promptly to Event staff or email events@itadsummit.com.

Enforcement

The Organizer may:

  • Investigate suspected violations;
  • Issue a warning or direct a Participant to stop misconduct;
  • Remove unauthorized materials;
  • Restrict access to particular areas or activities;
  • Revoke speaking, exhibiting, sponsorship, media, or attendance privileges;
  • Cancel credentials and immediately remove a Participant without refund;
  • Exclude a person or organization from future events;
  • Contact the Participant’s employer, sponsor, or represented organization when appropriate; or
  • Refer suspected unlawful activity to venue security or law enforcement.

Serious violations may result in immediate removal without a warning. A removed Participant must leave the Event and surrender credentials immediately. Failure to leave may constitute trespass.

6. Photography, audio, and video recording

The Event may be photographed, filmed, livestreamed, or otherwise recorded by the Organizer, its contractors, authorized media, and other approved representatives.

To the extent permitted by law, each Participant grants the Organizer and its authorized representatives permission to photograph and record the Participant’s image, likeness, voice, statements, presentation, and participation at the Event.

The Organizer may reproduce, edit, publish, display, distribute, and use authorized Event photographs and recordings for:

  • Event documentation;
  • News and media coverage;
  • Archival and historical purposes;
  • Educational materials;
  • Social-media content; and
  • Advertising and promotion of ITAD Summit.

No additional approval, royalty, or compensation will be required for such authorized uses.

Participants may take incidental photographs for personal use unless photography is prohibited in a particular area or by an Event representative.

Participants may not, without prior written authorization:

  • Record or livestream a presentation or workshop;
  • Reproduce or distribute presentation slides;
  • Use professional photography or recording equipment;
  • Record confidential or restricted sessions;
  • Interfere with a presentation or another Participant; or
  • Use Event recordings or photographs for misleading, defamatory, unlawful, or unauthorized commercial purposes.

Speakers, sponsors, and exhibitors retain rights in their independently owned presentations, trademarks, displays, and materials.

A Participant with a documented privacy or safety concern should contact the Organizer before the Event.

7. Privacy Statement

The Organizer may collect personal information provided during registration or Event participation, including:

  • Name, title, company, and contact information;
  • Registration and ticket information;
  • Billing and transaction information;
  • Event preferences and accessibility requests;
  • Communications with the Organizer;
  • Event-platform activity;
  • Badge issuance and check-in information; and
  • Photographs, audio, and video captured at the Event.

The Organizer may use this information to:

  • Process registration and payments;
  • Operate and secure the Event;
  • Provide credentials, schedules, and Event services;
  • Communicate important Event information;
  • Provide requested networking functionality;
  • Fulfill disclosed sponsorship benefits;
  • Investigate policy violations or payment disputes;
  • Improve future events;
  • Send marketing communications where permitted; and
  • Comply with legal obligations.

Information may be shared with vendors, payment processors, technology providers, venues, security providers, professional advisers, and other parties reasonably necessary to operate the Event.

Information may be disclosed to law enforcement, government authorities, payment networks, or other parties when reasonably necessary to comply with law, protect safety, investigate fraud, enforce these Terms, or respond to a payment dispute.

Where attendee information will be shared with sponsors or exhibitors for marketing purposes, such sharing will be conducted according to the disclosure or consent presented to the Participant.

Participants may unsubscribe from marketing emails by using the unsubscribe link contained in those communications. Operational communications concerning a current registration may still be sent.

8. Intellectual property and attendee information

ITAD Summit names, logos, branding, agendas, recordings, publications, website content, and other Organizer materials may be protected by intellectual-property law.

No Participant receives permission to use the Organizer’s intellectual property except for personal, noncommercial participation in the Event.

Attendee directories and contact information may be used only for legitimate, individualized professional networking.

The following activities are prohibited:

  • Scraping or automated collection;
  • Bulk downloading or copying;
  • Sale or transfer of attendee information;
  • Publication of attendee information;
  • Unsolicited mass marketing; and
  • Use of attendee information to promote another conference or event.

9. Visa and travel requirements

Participants are solely responsible for passports, visas, immigration requirements, transportation, accommodations, insurance, and related costs.

An invitation letter does not guarantee issuance of a visa or admission into the United States. The Organizer will not contact an embassy or consulate on a Participant’s behalf.

Visa denials, delays, and other immigration issues do not qualify for refunds.

10. Force majeure

The Organizer will not be responsible for delay, interruption, modification, postponement, relocation, or cancellation caused by circumstances beyond its reasonable control.

Such circumstances may include:

  • Fire, flood, earthquake, or natural disaster;
  • Severe or dangerous weather;
  • Epidemic, pandemic, or public-health emergency;
  • Government order, regulation, or restriction;
  • War, terrorism, civil unrest, or threat to public safety;
  • Labor strike or disruption;
  • Transportation interruption;
  • Utility, communications, or technology failure;
  • Cyberattack;
  • Venue damage, closure, or unavailability;
  • Loss or unavailability of essential services; or
  • Any similar event beyond the Organizer’s reasonable control.

Under such circumstances, the Organizer may postpone, reschedule, relocate, shorten, modify, convert to a virtual or hybrid format, or cancel all or part of the Event.

Registration fees will be handled according to the cancellation and refund provisions in Section 2 and applicable law.

The Organizer will not be liable for travel, lodging, visa, transportation, lost income, lost business opportunity, or other incidental or consequential expenses.

11. Assumption of risk

Participation in an in-person Event involves risks, including illness, accident, injury, theft, loss of property, travel risks, and interaction with other people.

Participants voluntarily assume the ordinary risks associated with attendance, except to the extent a risk cannot lawfully be waived.

Participants are responsible for evaluating their own health and safety needs and for maintaining appropriate medical, travel, and property insurance.

12. Disclaimer and limitation of liability

To the fullest extent permitted by law, the Event and all related content, facilities, and services are provided “as is” and “as available.”

The Organizer does not guarantee the attendance of any particular speaker, sponsor, exhibitor, company, or Participant. The Organizer does not guarantee any particular business opportunity, transaction, outcome, or financial result.

To the fullest extent permitted by law, the Organizer and its officers, directors, employees, contractors, affiliates, sponsors, and agents will not be liable for indirect, incidental, special, exemplary, punitive, or consequential damages arising from registration for or participation in the Event.

To the fullest extent permitted by law, the Organizer’s total aggregate liability arising from a Participant’s registration or participation will not exceed the registration fees actually paid by that Participant to the Organizer.

Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited.

13. Participant statements and third-party content

Views expressed by a speaker, attendee, exhibitor, sponsor, media representative, or other Participant are that person’s own and do not necessarily represent the views of the Organizer.

Each Participant is responsible for that Participant’s presentation, statement, advertisement, marketing material, website content, and other communication.

The Organizer does not endorse or guarantee products, services, statements, or offers made by Participants or third parties.

14. Disputes and governing law

Before starting a formal proceeding, a Participant must send written notice describing the dispute and requested resolution to events@itadsummit.com and allow the Organizer 30 days to attempt an informal resolution.

Except for a claim eligible for small-claims court or a request for temporary or emergency injunctive relief, any controversy or claim arising out of or relating to these Terms, registration, payment, or the Event that is not resolved informally will be resolved by binding individual arbitration administered by the American Arbitration Association under the AAA rules applicable to the dispute.

Arbitration will take place in Philadelphia, Pennsylvania, unless the parties agree otherwise or applicable law requires another location.

Judgment on an arbitration award may be entered in any court having jurisdiction.

These Terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to conflict-of-law rules, except where another jurisdiction’s law must apply.

Nothing in this section prevents a Participant from exercising a right that cannot lawfully be waived.

15. Severability and waiver

If any provision of these Terms is held invalid or unenforceable, that provision will be enforced to the maximum lawful extent and the remaining provisions will continue in effect.

A failure or delay by the Organizer in enforcing a provision does not waive the right to enforce that provision later.

16. Terms updates

The version of these Terms accepted at registration governs the Participant’s material payment and cancellation obligations.

The Organizer may make reasonable prospective updates needed for safety, security, legal compliance, venue operations, or Event administration.

Material changes will be communicated when reasonably practicable and will apply only to the extent permitted by law.

By registering for, purchasing access to, receiving credentials for, accessing, or attending the Event, the Participant confirms that the Participant has read, understands, and agrees to these Terms, the cancellation policy, Privacy Statement, photography and recording policy, Code of Conduct, and other policies incorporated into these Terms.
